In short: your logbook belongs to you and stays with you. Logbook Ultra has no user accounts and we operate no servers that hold your logbook. Your entries are stored on your device, and the App automatically backs them up and keeps your devices in step using your own private Apple iCloud storage, under your Apple Account, which we cannot access. We receive anonymous usage statistics, which you can switch off, and whatever you choose to send us if you contact support.
Future Approach Pty Ltd ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains what information the Logbook Ultra app ("the App") and any related services ("Services") handle, where that information is stored, and the choices available to you.
By using our Services, you agree to the handling of information as described in this policy. We may update this policy from time to time, as described in "Changes to This Privacy Policy" below.
Understanding two things about the App explains most of this policy:
As a result, most of the ordinary concerns about a company holding your data do not arise, because we do not hold it. Where we do receive something, it is described specifically in this policy.
We collect very little. The following clarifies everything the App handles, which is not the same thing as what we collect: most of it stays on your device and never reaches us. Where something does reach us, it is said so explicitly.
This information is yours. We do not collect it, transmit it to ourselves, analyse it, profile it, use it for marketing, or store it on any system we control. It is not sent to us when you import a roster or a logbook from another app. It stays on your device and in your own private Apple iCloud storage, which the App uses to back it up and to keep your devices in step. Where information about other people is synchronised between your own devices, it is encrypted.
The App asks for a permission only when a feature needs it, and it will tell you why. You can grant or withdraw any of these at any time in your device settings.
In each case the storage is part of your own Apple Account, not a system operated by us, and its handling is also governed by Apple's privacy policy. Backing up and synchronising are automatic because losing a logbook is a serious matter for a pilot; they are not a way for us to obtain your data, and we cannot read any of it.
Some features of the App are optional, are switched off unless you deliberately turn them on, and work by placing a limited amount of information in a shared area of Apple's iCloud service so that it can be processed for you, matched against other records, or made available to people you choose to share with.
Where the App offers a feature of this kind:
Features of this kind use Apple's iCloud infrastructure rather than servers operated by us. Where a small amount of information has to be held for such a feature to function, we keep it to the minimum that feature requires, and we do not use it for marketing.
Some features work by asking an external provider for aviation information. For example, when you look up a flight number or an aircraft registration so the App can pre-fill an entry for you, the App may send that search term and a date to a flight information provider, such as a flight tracking or ADS-B data service, and use the answer to help complete the entry.
Only the search term you type and the date are sent. Your logbook, your other entries and your identity are not. These requests do not identify you to the provider beyond what is technically necessary to answer them.
We may add or change providers over time as better sources become available, and features that rely on them may change accordingly. Any provider used in this way is used only to answer the request the App makes.
Purchases are processed by Apple, and subscription status is managed with the assistance of a subscription management provider. We never receive your payment card details.
To understand how Logbook Ultra is used and to improve it, the App collects anonymous usage analytics:
What is not included: the contents of your logbook. Flight details, dates, routes, airports, aircraft registrations, crew names, remarks and notes, imported files and file names, and personal identifiers are not included in analytics or crash reports. Error reports are stripped of messages, source context and file paths before they are sent.
Events are linked by a random identifier created on your device. It is not derived from your name, email address, Apple Account or any hardware identifier. Turning analytics off and on again creates a new one.
Analytics and crash data are processed on our behalf by PostHog, on servers in the European Union.
As with any internet connection, our analytics provider receives your device's IP address. It may be used to produce regional usage statistics, such as which countries the App is used in. It is not used to identify you and is never linked to your logbook.
Opting out: Tools > Privacy > "Help Improve Logbook Ultra". Usage analytics and error collection stop immediately; native crash reporting stops after you close and reopen the App.
We do not sell your information, we do not share it with advertising networks, and we do not use it to build a profile of you.
Permissions are requested only at the point a feature needs them, and features that share information are off until you turn them on. You can withdraw any permission at any time through your device settings, and switch analytics off within the App. Where a permission is declined, the App will continue to work, with the affected feature unavailable or requiring manual entry instead.
Your logbook is stored on your device and is protected by your device's own security, including your passcode and device encryption. Backups and synchronisation use your own Apple iCloud storage and are protected by Apple's security and your Apple Account. Information about other people that is synchronised between your devices is encrypted. Analytics and any provider lookups are sent over encrypted connections.
Because we hold no copy of your logbook, there is no database of user logbooks at Future Approach that could be exposed. That said, no method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.
You control your own data. Your logbook remains on your device until you delete it, and you can delete all App data from within the App. Backups and synchronised copies live in your own Apple iCloud storage and can be removed by you, either from within the App or through your Apple Account.
Anonymous analytics are retained by our analytics provider for a limited period for trend analysis. Because they are anonymous, they cannot be traced back to you, which also means we cannot locate and delete an individual's analytics on request; switching analytics off stops any further collection. Support correspondence is kept only as long as needed to deal with your enquiry and to meet our legal obligations.
We do not knowingly collect personal information from children under 16. The App requires no account, and your logbook is stored on your own device, so ordinary use does not involve us collecting personal information from a user of any age. If we discover we have inadvertently collected such information, we will take steps to delete it promptly.
Anonymous analytics are processed on servers in the European Union. Backups, synchronisation and any optional shared features use Apple's iCloud infrastructure, and where that data is stored is determined by Apple and your Apple Account. Aviation lookups are answered by providers who may be located in other countries. Where personal information is transferred internationally, we take reasonable steps to ensure appropriate safeguards are in place.

The App may link to third-party websites or services that we do not operate. We are not responsible for their privacy practices, and we encourage you to review their policies before providing information to them.
We may update this Privacy Policy to reflect changes in our practices or for operational, legal or regulatory reasons. We will post updates within the App and revise the "Last updated" date at the top. Your continued use of the App after an update indicates your acceptance of the revised policy.
All matters relating to your access to, or use of, the App and its content are governed by Australian law. Any disputes arising out of or relating to this Privacy Policy will be resolved in the courts of Australia, and you consent to their jurisdiction.
To the maximum extent permitted by applicable law, Future Approach Pty Ltd, its affiliates, directors, employees or agents shall not be liable for any direct, indirect, punitive, incidental, special or consequential damages, or any damages whatsoever, including but not limited to loss of use, data or profits, arising out of or in any way connected with the use or performance of the App or related services.
